Homeowners often enter a renovation expecting steady forward progress week after week. In reality, projects move through defined phases, each dependent on the one before it. When timelines slip, it’s rarely random, but the end result is frustration. Fortunately, there are patterns behind the slowdowns.

We sat down with Alex Ott, Owner and President of Artisan Contracting, to chat about where renovations most commonly stall, what separates organized projects from chaotic ones, and how experienced contractors prevent avoidable delays before they happen.

The Two Points Where Renovations Most Commonly Stall, And Why

Across the industry, two causes stand out: “Industry-wide, the two largest stalls are caused by two things: cash flow and materials delays.” Cash flow issues, Alex explains, are almost always preventable.

To help clients avoid this pair of common pitfalls, he offers some assurance: “At Artisan Contracting, we strive to estimate costs realistically and honestly so that cash flow issues are avoided entirely. It is very important to have a detailed estimate so that there are no surprises and no issues funding the project.”

Incomplete estimates are a major hidden risk. Homeowners sometimes believe they are getting a deal, only to discover later that core elements weren’t included. Alex notes, “If the project was priced properly and all change orders/credits are accounted for every couple of weeks, so all parties are on the same page, there should be zero surprises, and this issue should never arise.”

Material delays, on the other hand, are often outside a contractor’s control. That’s where scheduling discipline matters.

“Smaller project slowdowns will inevitably happen, and even with the best scheduling and time management, they will occur. A seasoned contractor will build these small hiccups into the project timeline.”

The Homeowner Decisions That Most Often Delay Projects

Large decisions during the design phase are one of the biggest timeline variables. According to Alex, “Sometimes big ideas are thrown into the mix, and homeowners rightly should take some time to mull the options over.”

Major changes often affect budget and scope, as “these sorts of big ideas usually come with a price fluctuation, and this is one of the instances when Artisan Contracting shines. We work together with the designer to design within a budget.”

Once construction begins, decision delays can become more disruptive. For instance, “The homeowner might change their mind on a particular layout or material selection.” In those cases, experienced teams pause and present the trade-offs clearly.

“The delays should be discussed at that time with the homeowner so they can make an educated decision on whether the change is worth the time and any additional costs to them. If it is worth it to the homeowner, then great, sometimes a time delay to get things just right is well worth it.”

The key principle remains clear: the homeowner must be confident in the final result. “This is your house, so you need to be happy with the final concept”, Alex emphasizes.

How Much of the Timeline Is Determined Before Construction Begins?

According to Artisan Contracting, the timeline should be largely defined before work starts, with realistic scheduling “discussed with the client before renovations begin.” This becomes especially important if homeowners are moving out during construction.

While unforeseen issues can arise, such as wiring discoveries, layout adjustments, or upgraded fixture selections, homeowners should never feel blindsided. To prevent this, Alex recommends “open communication” to set and maintain “expectations around these developments.”

Industry-wide disruptions, such as material shortages, can influence even the best-planned schedule. But scope clarity and transparency at the beginning of the process determine the majority of outcomes.

Here’s What Separates a Well-Managed Renovation from One That Falls Behind

Renovations are a chain reaction of moving parts.

“A well-managed contractor keeps all the moving parts in mind — materials, subcontractors, and decision making from the homeowner”, Artisan’s founder states. If framing falls behind or work schedules from the trades shift, deliveries may need to be rescheduled. Every phase affects the next.

Communication is equally important. As claimed earlier, “Having an open dialogue with the homeowners is very important. Keeping them up to speed with how things are going, but also holding them accountable for any decision-making that may be needed on their end.”

Finally, experience plays a defining role. That’s why you shouldn’t always go with the cheapest, fresh-faced offering. Reflecting on his years in the business, Alex admits that “By having previous experience with projects, I also know how to plan ahead.”

How Professionals Prevent Delays Before They Start

Prevention begins long before demolition. Mr. Ott offers us a reminder that it’s all about experience: “Knowing what to look for before construction begins is important. Equally important is constantly keeping your eyes open during construction so that it is possible to adjust the plan so that roadblocks don’t arise.” Staying sharp and observant complements experience and hedges against the complacency that sometimes sneaks into the processes of confident contractors.

Designing within budget is also a key part of that prevention: “It is a crucial and ongoing conversation during each step of the design phase where we don’t end up blowing the budget before even getting started.” A project that begins with clarity rarely suffers from funding surprises midstream.

When Unexpected Issues Arise Mid-Project

Even experienced contractors encounter the occasional unknown.

“Even with as many years experience as [a company] like Artisan Contracting, there is always going to be something you have never seen before.” The difference, Alex hints, lies in how the contractor responds to the issue: “Having a solid broader team that you have worked with for years or even decades makes all the difference.”

A strong contractor also understands their limits.

“A general contractor isn’t a specialist — a great contractor knows when something is beyond his expertise and needs a specialist. Having a broad team you can rely on, full of specialists in every field, is extremely important.”

The Biggest Misconception About Renovation Timelines

The biggest? Probably time. Alex elaborates, “People who have never had a large renovation before generally have unrealistically short expectations. I think this is in part caused by shows where they fast forward through the hard work to the good parts.” So, unrealistic expectations often stem from television. That might be because reality TV can hardly call itself reality.

And, quality takes time.

“A good quality renovation can’t be rushed — each step takes time. The only way to speed up a well-managed renovation is to cut corners or lower quality expectations.”

Even seemingly simple tasks are more involved than most realize. During his own recent renovation, Alex watched the process through his wife’s eyes. “She was surprised at how many steps were involved in each process,” he says. What seemed simple, like installing baseboards, turned out to be anything but. “You need to get the board, sand the board, paint the board, paint it again… these details matter.” She had assumed they came pre-painted and ready to install. They don’t. It was a reminder that what looks like a single task is often a sequence of careful, time-consuming steps. The kind that never make it into a 30-minute renovation show.
